Delegate

What responsibility can move without more chasing?

Session / guided simulation Guided simulation · AI/GPT not required
What you'll learn

Learn to define a narrow responsibility by the useful outcome it owns, what remains human and the blocked state that should trigger clarification or escalation.

Bring / required

Required: your AI Work Delegation Blueprint and either your own workflow or the fictional starter case. AI/GPT is not required for the core simulation.

What you'll do

Compare broad and narrow job definitions, choose a useful first responsibility and test it against an ambiguous input.

Take away

One narrow responsibility with an outcome, exit condition and human owner.

This session uses paper, partner role-play and supplied evidence. Do not treat the simulation as a live customer action.

What you will leave with

One narrow responsibility with a human owner. Add this to your AI Work Delegation Blueprint.

Use your own workflow or the fictional quotation case. No coding or live customer action is needed.

Start with a decision · 10 minutes

Compare “Draft a reply” with “Prepare a checked quote and obtain approval or escalate missing facts.” Ask what the coordinator would still have to chase.

Bite A · Describe the outcome, not the role title

Question: What useful state should the work reach?

Input: S0 repeated rewriting, checking and chasing; S6 missing owner. Open the case cards.

Try · 12 minutes: Write what each instruction finishes and what remains. Name the human accountable for the customer outcome.

Compare after you have decided

A bounded responsibility includes follow-through to a stated result. It does not silently acquire authority to send or approve discounts.

Keep: Outcome and remaining human work.

Bite B · Choose a first responsibility

Question: Which job is useful and observable enough to try?

Input: Candidates: prepare quotes; resolve every complaint; change payment details; flag missing enquiry facts. Open the case cards.

Try · 12 minutes: Rank by recurring benefit, clear boundary, visible completion and repair effort. Choose one and reject one with a reason.

Compare after you have decided

Quote preparation and missing-fact triage are narrow candidates. Payment changes are forbidden; “resolve every complaint” has undefined authority.

Keep: Candidate choice and reasons.

Bite C · Make the job small enough to explain

Question: What does “AI salesperson” actually mean here?

Input: Q-104/Q-107 and S2. Open the case cards.

Try · 12 minutes: Rewrite the broad role as inputs, outcome, exit condition and person-owned work. Test it against “repeat my usual order” with no history supplied.

Compare after you have decided

Prepare a current-price draft or request missing details. Mira reviews; Farah handles delivery checks. Missing order history is an exit to clarification.

Keep: Responsibility statement with a blocked state.

Put it together · 20 minutes

A partner can explain both the useful work moved and the human work retained. The job has a finish or a named escalation. Revise the weakest item and have a partner use it. Keep the result and one limitation.

Close your question · 10 minutes

Return to What responsibility can move without more chasing? and your own opening question. Answered, partly answered or still open? Show the evidence. Save the updated AI Work Delegation Blueprint. A reasoned decision to keep a step human-led is useful work.

Common trap

More agents and more tools do not prove a better responsibility design.

Can a template be the better answer? Yes. Delegate only the judgement and follow-through that the work actually needs.

Where this appears in real work

Gaia Eats operations: narrow one recurring comparison or exception check before proposing an entire autonomous operation. The class uses the fictional packet; selected project demonstrations and technical walkthroughs can add detail later.
